PERSONAL LETTERS

There is no better means of communicating with people at a distance than through a letter. Communication by telephone or wireless or the Internet may be faster, but it lacks permanence. A letter is always there to refer to. You can refresh your memory by reading a letter after a long time. Moreover, the letter has a personal touch, if written by hand, since each handwriting is unique in character, projecting the personality of the writer. A good letter fosters cordial relations with people and firms.

Letters may be classified, according to their objectives, into Personal Letters and Business Letters. In both types, credit is given for knowledge of how to set out the formal elements of the letter (addresses, date/greetings, etc). However, more marks are awarded for tone (appropriateness of the language to the purpose of the letter, the subject matter, expression etc) of the letter.

Personal Letters: Letters to relations, friends, colleagues or acquaintances are called Personal Letters. These have a simple informal style. The subjects of such letters are invitation, request, apology, congratulations, postponement, inquiry, sympathy, thanksgiving and conveying news

For the sake of convenience, we shall consider such letters under two aspects: the layout, and the subject matter.

LAYOUT OF A PERSONAL LETTER

(a) Address of the writer is written at the top right-hand corner of the page in the traditional format and at the top left-hand corner of the page in the box-type format, which is being followed nowadays. Do not put your name above the address. You may put a comma at the end of each line of the address and a full stop at the end of the last line, as:

New Delhi-110024.

You may also write your address in a block form (i.e., without indentation) and without using any punctuation mark, as:

25 National Park

Lajpat Nagar

New Delhi-110024

(b) Date of the letter is written directly below your address.

Note: The best way to write the date is to indicate the day, month and year.

e.g., 30th August, 2025.

Do not write 30.8.2025 or 30/8/25 because this way of writing the date may not be considered appropriate.

(c) Greeting or Salutation: Now go to the left-hand side of the page and write the Salutation. The Greeting or Salutation has a line to tell and is followed by a comma. The form of Greeting will depend on the relation in which you stand to the person to whom you are writing; as,

(d) The opening sentence of the letter could be a response to an earlier communication, or it should have a reference to the subject of the letter. Here are some useful suggestions for opening sentences:

1.    I was delighted to hear of your success……….

2.    I am very sorry to tell you......

3.    Do you know what has happened to…………..

4.    How can I ever thank you for…………….

5.    We were all shocked to hear..................

6.    It's a pleasure to be able to congratulate you on………

7.    Thank you for your letter.....

(e) The body of the letter: The subject matter of the letter is given in this part. The body of the letter must be broken up into paragraphs.

(f) The concluding sentence: The letter should be concluded with a sentence which has some connection with the topic of the letter. The last sentence may be in the form of conveying love and respect to the family members. Given below are examples of concluding sentences, which leave a friendly impression:

1.    Please convey my regards to your parents.

2.    Please remember me to your brother.

3.    Don't hesitate to write again if I can be of any further help.

4.    We all miss you here.

5.    I am looking forward to your visit.

6.    I look forward to hearing from you soon.

(g) Subscription or Leave-taking: The letter must not end abruptly but with a certain form of polite leave-taking, such as:

Note: The leave-taking phrase is written at the bottom of the letter on the right- hand side of the page in the traditional format and on the left-hand side in the box-type format.

The first letter of the subscription must begin with a capital letter, e.g., Yours

(h) The signature or name of the writer comes below the subscription. Use your first name only for this purpose in personal letters, as,

SUBJECT MATTER

The body of the letter containing the subject matter is the main part of the letter. Here you will have to follow the points mentioned in connection with the writing of different types of compositions. If you are asked to give directions on how to hire a flat, you will have to go about the assignment in the manner in which you treat a factual essay. Similarly, if you are asked to imagine yourself to be a soldier and explain your experience in the battlefield, you will have to follow the general pattern of an imaginative essay. You will have to show the thoughts and feelings of a soldier

You must adopt a tone appropriate to the matter you are writing about. Always keep in mind the person you are writing to. If you are writing to your parents, your tone should be intimate. If you are writing to a friend, the tone should be informal and personal.

Divide your letter into paragraphs and use simple language. Write neatly, putting in proper punctuation marks. All these elements contribute to create a favourable impression on the reader of the letter.

Special marks are reserved for the following points of the layout of a letter in an examination. If 10 are the maximum marks allotted for the letter, 2% or 3 marks are reserved for the layout as follows:

What made the celebration special was that the teachers organised a cultural programme for us. They performed a humorous skit depicting classroom situations, which left everyone laughing. Some teachers even sang popular songs and recited poems. It was delightful to see them performing for us instead of the other way round. Their efforts truly made us feel valued and cherished.

After the cultural programme, various competitions such as painting, elocution and quiz were conducted. I participated in the elocution contest and was thrilled to win the second prize. The school also arranged some fun games on the playground, and sweets were distributed to all the students. The atmosphere throughout the day was filled with joy and excitement.

The celebration reminded us that childhood is a precious phase of life and that we must use it wisely by cultivating good habits and noble ideals. Though the day ended quickly, it left behind pleasant memories that we shall treasure for a long time.

What impressed me most was the harmonious blend of history and daily life. Ancient havelis stand alongside modern shops, and traditional customs continue to thrive amidst urban development. The Heritage Walk not only deepened my understanding of Delhi’s past but also made me appreciate its diverse culture and enduring spirit.

I earnestly request the concerned authorities to enforce strict regulations regarding the use of high beams and to conduct regular vehicle inspections. Awareness campaigns should also be launched to educate drivers about the importance of using dipper lights in city traffic and while approaching vehicles from the opposite direction.
